Collect logistics facts before they become crew surprises

Event rental delivery can fail even when the inventory and schedule are correct. A narrow service entrance, long carry, stairs, limited truck standing time or missing onsite contact can add labor and create setup risk. This pack turns those venue facts into a reusable dispatch document.

Record the actual entrance the truck will use

A venue’s guest address is not enough. The useful record identifies the loading dock, service gate or delivery entrance and any truck standing restrictions. If the crew must call ahead or meet security, put that instruction in the access note.

Measure the physical route when large items matter

Carry distance, stair flights and the narrowest confirmed doorway affect both feasibility and labor. The tool can compare the entered largest item width with the entered doorway width, but it cannot know height, turning radius or safe handling clearance. Use the flag as a prompt for physical confirmation.

Staging space is part of setup productivity

Cases, carts, packaging and empty transport racks need somewhere to go while setup continues. A venue with no staging area may require more trips to the truck or a different unload sequence. Record the confirmed staging location rather than assuming a back hallway will be available.

Keep venue restrictions in the crew-facing record

Floor protection, elevator reservations, no-cart zones, loading curfews and guest-area restrictions should not stay buried in an email thread. Put the operational rule into the same pack the crew will use onsite.

This is not a safety certification

The readiness pack does not approve rigging, electrical load, fire egress, structural capacity or other regulated safety work. Those requirements must be handled by the responsible venue and qualified providers. The pack is a logistics record and pre-dispatch checklist.

Frequently asked questions

Should I record guest parking?

Record the parking and standing information that affects the delivery vehicle and crew access.

Does a doorway-width pass guarantee an item fits?

No. Height, turns, packaging, handling clearance and the rest of the route still matter.

Can this replace a venue walkthrough?

No. Use it to capture confirmed facts from the walkthrough or venue contact.
