Check the date overlap, not just the total bookings
A rental item can be fully booked for the month without ever being unavailable, or lightly booked overall and still be double-booked on one weekend. Availability is therefore an overlap problem. This checker groups rows by item and finds the highest concurrent quantity across the entered pickup and return dates.
Use one row per booking-item combination
If one event takes 150 white chairs and 18 banquet tables, enter two rows. If another event also uses white chairs, add another white-chair row with the same total owned quantity. The checker groups rows by the item name and tests the combined demand.
Return dates are treated as occupied
The date-level model assumes stock remains unavailable through the entered return date. If you add a one-day turnaround buffer, it remains unavailable for one additional day. This is intentionally conservative for cleaning, inspection or warehouse processing.
Peak booked quantity is the useful capacity number
The output compares total owned with the highest overlapping quantity. A shortfall of 30 chairs means there is at least one date range where booked demand exceeds stock by 30. The tool does not automatically solve the shortage with sub-rentals, substitutions or earlier returns.
Same-day reuse needs time-level confirmation
If an item returns at 09:00 and can safely leave again at 14:00, a daily model may show more overlap than the real operation. Use the result as a conflict flag, then verify exact return, inspection and dispatch times before accepting same-day reuse.
Inventory condition still matters
Owned quantity is only useful if the stock is actually rentable. Items already quarantined for repair, reserved as safety stock or known to be unavailable should be excluded from the quantity you treat as usable. The checker is strongest when the inventory count is operational, not merely an accounting count.
Frequently asked questions
Does the checker know exact pickup and return times?
No. It is a date-level conflict checker. Confirm same-day timing separately.
Why add a turnaround buffer?
Use it when returned inventory needs cleaning, testing, counting or repair inspection before it can be rented again.
Can I use it for different inventory categories?
Yes. Use consistent item names so rows for the same stock group together correctly.
