Treat return reconciliation as an inventory control step

A rental booking is not finished when the truck returns. The operating record should show what the customer reserved, what the warehouse actually loaded, what returned, and what condition exceptions were documented. This tool keeps those quantities in one table and calculates the deposit position from the costs you enter.

Booked quantity and loaded quantity are different facts

If a booking calls for 150 chairs but only 148 are loaded, that is a warehouse or dispatch variance, not a customer loss. Keeping booked and loaded quantity separate prevents a return shortage from being blamed on the customer when the shortage existed before dispatch.

Returned quantity controls missing quantity

Missing quantity is calculated from loaded minus returned. Damaged quantity is tracked inside the returned quantity so a damaged but physically returned item is not counted as missing as well. This avoids double counting.

Enter documented repair or cleaning costs separately

The tool uses replacement cost only for missing items. Repair or exceptional cleaning is entered as a separate row amount because a damaged item may be repairable and the actual cost may be much lower than replacement. Use the cost basis allowed by the rental agreement and applicable law.

Deposit refund is the final arithmetic, not the first decision

Documented deductions are added across the rows. The deposit refund is the deposit held minus those deductions, floored at zero. If deductions exceed the deposit, the tool shows the additional amount separately. That result is a record of the entered facts, not automatic authority to charge the customer.

Save the reconciliation with inspection evidence

For a real dispute-resistant workflow, keep return photos, signed check-in notes, repair invoices and the original rental agreement with the reconciliation. The printable output is useful as a summary, while the evidence supports the underlying quantities and costs.

Frequently asked questions

Should a damaged returned item also count as missing?

No. If it physically returned, keep it in returned quantity and record the damaged count separately.

What if fewer items were loaded than booked?

The tool shows a load-out shortfall so the discrepancy can be separated from customer return responsibility.

Does the calculator decide what can legally be deducted?

No. Use the rental agreement, documented condition evidence and applicable law.
