How to plan event coverage without an overtime surprise

A run-of-show can fit perfectly on paper and still fail when every transition is scheduled with zero buffer.

Separate contracted coverage from total working time

Setup, soundcheck and pack-down may sit outside the client-facing coverage window, but they still consume the operator's day. The planner keeps those hours visible while separately testing whether the program itself fits inside the contracted event coverage.

Build the program from real blocks

Entrances, speeches, dinner service, formalities and dancing are not interchangeable minutes. Use realistic blocks based on the type of event you are hosting instead of assuming the schedule will compress itself when one section runs late.

Add an operational buffer on purpose

Real events drift. A speech starts late, dinner service takes longer, guests move rooms slowly or another vendor needs extra setup time. A visible buffer is healthier than silently assuming every transition will happen exactly on schedule.

Know the difference between spare time and overtime risk

If the planned program plus buffer is shorter than contracted coverage, the result shows the remaining cushion. If it exceeds the coverage, the planner exposes the projected overtime minutes before the event happens.

Keep overtime economics separate from permission

The calculator can estimate overtime billing, labor cost and contribution using the rate you enter. That does not mean the overtime is automatically authorized or collectible. The signed agreement should define approval, extensions and billing terms.

Review the timeline before the final planning call

This tool is most useful while the schedule can still change. If the timeline already consumes every contracted minute, you can discuss priorities, buffers or an extension before event day instead of negotiating under pressure.

Move recurring event work into EventHost CRM

A one-off calculator is enough to test one schedule. When you need the booking, timeline, music, tasks, balances and live event controls to stay attached to the same client record, EventHost CRM carries that history forward.

Private planning by default

The planner runs locally in your browser. Your timeline assumptions remain on the device/browser profile unless you choose to copy, download or print the generated result.

Frequently asked questions

What should be included in an event timeline buffer?

Include realistic time for transitions, delayed speeches, room movement, vendor coordination and other schedule drift that can affect the contracted finish.

Should setup and pack-down count as event coverage?

That depends on the agreement. The planner keeps setup and pack-down visible as working time while separately testing the in-coverage program.

Does projected overtime mean I can automatically charge it?

No. The signed agreement determines whether overtime is allowed, how it is approved and what rate applies.
