How to calculate personal trainer cancellation revenue loss

Multiply booked sessions by the affected-session rate, remove sessions charged under agreed terms, remove uncharged openings filled by another paid booking, then multiply the remaining unfilled sessions by the session price.

Lost revenue = booked sessions × affected rate × uncharged share × unrebooked share × session price

Measure one definition consistently

Decide whether the affected rate includes only no-shows, late cancellations, or both. Use the same definition for the numerator and the booking period being compared.

Separate revenue from contribution

An unfilled session may avoid a small delivery cost. Revenue loss uses the full session price. Contribution loss subtracts the delivery cost not incurred, which gives a more useful operating comparison.

Use policy terms only after agreement

This planner does not write or recommend cancellation terms. Model only charges the business is permitted to apply under clear terms accepted by the client and the rules that apply to the transaction.

Frequently asked questions

How do I calculate a personal trainer cancellation or no-show rate?

Divide the late cancellations and no-shows in a period by all booked sessions in the same period, then multiply by 100. Keep definitions and the measurement period consistent.

How do cancellations affect personal training revenue?

An affected session loses revenue only when it is neither charged under the agreed terms nor replaced by another paid booking. Multiply those lost sessions by the session price to estimate lost revenue.

Does this planner recommend a cancellation policy?

No. It compares financial scenarios from the percentages entered. Any cancellation terms should be clear, agreed before booking, applied consistently and reviewed for the laws and payment rules that apply to the business.
