How to create a useful project handover pack

A closeout pack makes the final state of a project visible instead of leaving it scattered across emails and folders.

State what was completed

Start with the work that was actually delivered. Use language the client can connect to the agreed scope rather than a list of internal tasks. If the final project differs from the original plan because of approved changes, describe the finished state and keep the supporting change records with the project archive.

Tell the client where deliverables live

A handover is more useful when it answers “where is everything?” List the final folder, repository, gallery, shared drive, hosting account or other location where deliverables can be found. Include enough context for the client or a future provider to locate the work without reopening a long email thread.

Clarify ownership and access

Record which party owns important accounts, files, licences or assets after delivery. If temporary collaborator access was used, note the plan for removing it. Do not put passwords, recovery codes, private keys or other secrets into the generated pack. Use secure credential transfer or delegated account access instead.

Keep outstanding items visible

Projects often reach handover with a small dependency still open: a client-supplied image, a DNS change, a final approval or a third-party action. Listing these items avoids a false impression that everything is complete. State who owns each next step outside the generator if that level of detail is needed.

Document the support window

If the agreement includes a warranty, defect-fix period, launch support or maintenance window, summarize it using the same terms as the real agreement. Avoid inventing new obligations in the handover pack. The closeout document should explain the existing arrangement, not silently change it.

Do not forget final billing

Record the status of the final invoice or balance so commercial closeout is visible alongside operational handover. For projects using staged billing, the Deposit & Progress Payment Schedule Calculator can structure the plan earlier. A handover pack itself does not collect payment or replace invoice records.

Use a checklist and a pack together

The Client Offboarding & Access Handover Checklist helps the provider remember closeout tasks. This tool produces the client-facing record of the finished project. Together they cover the operational “did we do it?” and the communication “what was handed over?” sides of project closeout.

Portable by design

Working inputs stay in the browser where local storage is available. Example mode is isolated from real saved values. The generated pack can be copied, downloaded as standalone HTML or printed to PDF. Print outputs the handover document only, excluding navigation, forms, SEO content and promotional sections.

Frequently asked questions

What belongs in a project handover pack?

A practical handover pack can include completed work, delivered files, locations, account ownership, outstanding items, support terms, final billing and acknowledgement.

Is a handover pack the same as legal acceptance?

Not necessarily. Acceptance, warranties and ownership should follow the actual contract or agreement.

Should passwords be placed in the handover document?

No. Use secure credential-transfer or delegated-access methods instead.
