GPSR Product Compliance Workflow for Small Sellers

Build one repeatable source-of-truth workflow instead of recreating product safety information for every marketplace, SKU and document.

The quick answer

A strong GPSR workflow separates the source product record from the places where that information is published. Keep verified identifiers, economic operators, warnings, evidence and market/language versions in one source record, then use that record for labels, accompanying documents and online offers.

This reduces inconsistent names, stale responsible-person details and mismatched warning versions. It does not certify compliance or replace product-specific legal assessment.

1. Create one product source record

Start with the exact product and variant. Keep model, SKU, batch or serial conventions, manufacturer details and the documents used to verify them. The source record should be stable enough that a marketplace title change does not change the technical identity of the product.

2. Track manufacturer and EU operator records

Keep operator records separately from product marketing copy. Article 16 requires an EU-established economic operator for products covered by GPSR, and Article 19 brings responsible-person details into online offers where applicable.

If an operator changes, you should be able to identify which products and published outputs need review.

3. Treat warnings and languages as versions

Warnings and safety information are not generic text fields. Record the source, market, language and review date. This makes it easier to see whether the online offer, packaging draft and accompanying document are using the same approved version.

Use the product information guide for content planning.

4. Generate channel-specific outputs

Once the source record is verified, create the output needed for each channel. The physical product information and the online offer overlap, but they are not identical workflows.

5. Keep review history and evidence

A repeatable process should answer: what was verified, from which source, by whom, for which product version and market, and when it was last reviewed. Keep evidence such as supplier records, assessments, relevant test information, screenshots or exported drafts as appropriate.

The goal is not more paperwork. It is being able to reconstruct why a field or warning was used when a listing or product record is reviewed later.
